Way We Do Capture is an AI-powered feature that converts your video or audio recordings into clear, step-by-step procedures.

You simply:

  • Record yourself completing a task (walk and talk), or

  • Upload an existing recording

…and Way We Do automatically generates:

  • A fully documented process

  • Structured steps

  • Clear, professional language

  • Ready-to-use workflow content

Why Use It?

Creating processes manually takes time and often avoided. Capture removes that friction.

Uploading a Video or Audio File

Uploading content is simple:

  1. Navigate to Manual

  2. Click on Capture a Process

  3. Drag and drop your file or browse for it on your computer

Once uploaded, your Capture enters the processing queue.

Queue System

Way We Do Capture uses a queue system to process files efficiently.

  • Each upload is placed in a queue

  • Processing begins automatically when capacity is available

  • Larger files or high demand may slightly increase wait times. Please let us know if this becomes a problem for you, so we can consider our platform engineering options.

You’ll be able to:

  • See the status of your Capture

  • Know when it’s ready for review

File Types Accepted

Way We Do Capture supports common formats for ease of use.

Video formats:

  • MP4

  • MOV

  • AVI

  • And more

Audio formats:

  • MP3

  • WAV

  • M4A

  • FLAC

  • And more

If your file is not one of these formats, please let us know so that we can consider adding your specific file type. Alternatively, if your file is in a different format, convert it before uploading.

File Size Limit

To ensure reliable processing:

  • Maximum file size: 500 MB

If your file exceeds the limit:

  • Compress the file, or

  • Split it into smaller sections which you can use as Sub-Processes

Video Length

For best results:

  • Recommended length: 1–10 minutes

  • Shorter videos produce clearer, more focused processes

  • Longer recordings may be split into multiple processes (and be used as Sub-processes within a Primary process).

Tip: Capture one process per recording.

Discarding a Capture

If you no longer need a Capture that has been processed:

  • Click the discard button at any time before or after processing

  • Discarding removes it from your queue and workspace

This is useful if:

  • The wrong file was uploaded

  • The recording needs to be redone

  • The process is no longer required

How It Processes Your Content

Once your file reaches the front of the queue:

  1. The system analyses the audio narration

  2. It interprets the sequence of actions

  3. It extracts key steps, structure, and images

  4. It generates a clear, professional process

The output includes:

  • Step-by-step instructions

  • Logical flow of actions

  • Clean, consistent formatting

You can then:

  • Review and refine

  • Assign roles and dependencies

  • Convert into training and/or workflows

Automatic Deletion of Your Video

Your privacy and data management are built into the process.

  • Uploaded video/audio files are automatically deleted after processing

  • Only the generated process remains in Way We Do

This ensures:

  • Reduced storage overhead

  • Cleaner system management

  • Confidence in how your media is handled

What Happens Next?

After processing:

  1. Review the generated procedure

  2. Make any edits or refinements

  3. Assign roles and add dependencies

  4. Activate it as a workflow or checklist
