Editor Training - How to Review a Process Capture

This guide walks you through how to review your Capture and turn it into a fully operational workflow or training module.

Once your Capture has been processed, you’ll see extracted content from your video or audio file. This is where your expertise comes in -- reviewing, refining, and activating the process so it works in the real world.

Why Review Your Capture?

Way We Do Capture does the heavy lifting -- but a human-in-the-loop review ensures accuracy, clarity, and accountability.

You’re checking that:

  • The steps reflect how the work should be done

  • The language matches your business standards

  • Nothing critical has been missed

  • The process is ready for your team to follow

Think of this step as moving from captured knowledge to creating an operational system.

Opening Your Capture (Ready for Review)

When your Capture has finished processing, it will display a status of “Ready for Review”.

To begin reviewing:

  1. Navigate to Manual

  2. Under "Captures in progress", locate the Capture tile with the status of “Ready for Review”

  3. Click on the tile

This will open the generated process so you can begin reviewing and refining it.

Using the Review Tools

The Review Capture page gives you full control to refine and validate the generated process.

What You Can Edit

You can directly adjust:

  • Title – Ensure it clearly describes the process

  • Overview – Refine the summary to match your business context

  • Step Titles – Make each step concise and action-oriented

  • Step Content – Clarify instructions and add missing detail

Selecting the Best Images

Way We Do Capture provides a selection of images extracted from your video.

You can:

  • Click the primary image to enlarge it

  • Select the smaller thumbnail images to move it to the primary image location

  • Choose the most relevant image for each step to become the primary image

  • Ensure visual clarity for training and usability

Using the Transcript and Time Codes

To validate accuracy, you can:

  • View the original transcript of your recording

  • See time codes linked to each step

This allows you to:

  • Jump back to the exact moment in the video

  • Confirm what was said or done

  • Quickly resolve any ambiguities

Finalizing Your Review

Once you’ve completed your edits and are satisfied with the process:

  1. Click Create Process

This action:

  • Inserts all reviewed content into an Activated Checklist

  • Moves your Capture into an operational format for training or workflow

After clicking Create Process, your Capture becomes an Activated Checklist, ready for further refinement and use.

Activated Checklists:

  • Turn procedures into live, trackable training or workflows

  • Allow team members to tick off steps as they complete them

  • Provide timestamps and audit trails

  • Ensure consistency across your operations

Assign Roles and Dependencies

To make your process fully operational, define who does what -- and in what order.

Assign Roles

Each step should be assigned to a role.

This ensures:

  • Clear accountability

  • Scalability as your team grows

  • Consistency regardless of who performs the task

Examples:

  • Technician

  • Office Admin

  • Operations Manager

Set Dependencies

Dependencies control how the workflow progresses.

They ensure that:

  • Steps are completed in the correct sequence

  • Critical actions aren’t skipped

  • Work flows smoothly between roles

You can:

  • Require steps to be completed before others begin

  • Structure sequential or parallel activities

  • Reduce bottlenecks and confusion

As you:
