Running an Activated Checklist Instance with a Due Date

Instructions for running an Activated Checklist that has Due Date(s) set.

Running a checklist instance for an Activated Checklist with a Due Date is completed in the same way that you run a standard Activated Checklist.

Select the Play button, name your instance in the Activity Title field, add Collaborators if required, select when to Send Invites, then select Start.

Once run, there will be an overall due date for the checklist, which will be displayed at the top, as well as a due date for each step that has one added to it.

If the due date is set from the Start of the checklist

When the due date is set to be calculated as the checklist is started, the due date is confirmed immediately.

If the due date is based on another step being completed first

When the due date is set to be calculated when another step has been completed, the due date is not confirmed until the relevant step has been completed. Instead, it will say it's waiting to be confirmed, see below screenshot.

Due Dates & Decision Points

If there is a Decision Point with a due date within the process, then the due date for the entire checklist will be shown as a projected range. As the person is completing the process, the projected due time will update, and when a decision point condition is selected, the projected due range will change to a single projected due date/time.

Viewing a step with a due date

When a due date is confirmed, you will see a dark green vertical line against the step, as well as an On Time indicator at the top of the checklist.

Select the step to see when the step is due to be completed. You aren't restricted from completing this step ahead of the designated time. Note: if you are using Work Hours, then there will be a "shovel" icon, to indicate that the time period has been adjusted to allow for this. Hover your mouse over the icon for an explanation of what it means.

Select the arrow next to Step Due to expand the date selector. If it is greyed out, like the below screenshot, then you are unable to change this date.

If the date selector is white, like the below screenshot, then you are able to change this date.

Select the calendar icon to amend the date and time.

You can view changes to the due date and time by clicking the edit link. There will always be at least 1 edit as this refers to the initial calculation of the date and time. If it shows more than 1 edit, selecting this will show who made the edit and when. The presence of the silhouette icon indicates the change was made by a person; no silhouette means that Way We Do initiated the edit.

Steps with a due date do not check themselves off automatically. The user is required to check this off manually.

On time, Overdue, Confirmed, & Unconfirmed statuses

There are different statuses when using the Due Dates feature that let you know if your due date is confirmed or unconfirmed as well as if the due date is projected to be on time or projected to be overdue.

We have color coded the different statuses to make them easy to recognize.

  • On time & Overdue: these terms refer to if the step is completed before or after the "Due within" period

  • Confirmed & Unconfirmed: these terms refer to whether the projected due date has been confirmed based on what it is dependent on e.g. if the due date is dependent on Start, then it is confirmed immediately. If the due date is dependent on another step, it is unconfirmed until that step is completed.

Dark Green - Confirmed & On time

Steps that show a dark green vertical line are Confirmed and On Time.

Light Green - Unconfirmed & On Time

Steps that show a light green vertical line are Unconfirmed and On time.

Orange - Unconfirmed & Overdue

Steps that show an orange vertical line are Unconfirmed and Overdue.

Red - Confirmed & Overdue

Steps that show a red vertical line are Confirmed and Overdue.

Overall Checklist Due Status

As a result of the due statuses formatted on steps within the checklist, there is an overall checklist due status.

This is visible at the top of the checklist.
