Instructions for migrating the edit toolbar to the new experience

All policies, procedures, and checklists created after 20 August 2023 have Way We Do's most up to date edit toolbar available for use.

Any item created prior to that date uses the older experience, called our legacy editor.

So that you can have the new experience on your older content, from 18 September 2023, a migration tool is in place where you can choose to migrate or not.

Migrating a Standalone Procedure or Checklist

Whenever you go to edit a Standalone Procedure or Checklist that currently uses the legacy editor, a prompt will appear asking you if you would like to migrate this item to the new editor. You can choose to either migrate or not migrate the content.

Choosing to migrate

  • Select the Edit button

  • The popup will have Migrate to our new editor pre-selected

  • Click Continue

  • Your content will open in Draft with the new edit toolbar experience

Choosing not to migrate

  • Select the Edit button

  • Choose Keep using the legacy editor

  • Click Continue

  • Your content will open in Draft with the legacy edit toolbar

When you choose not to migrate to the new experience, you'll be prompted to migrate again the next time you go to edit the published item. If you would like to stop this prompt, you can select Do not ask me again for this procedure after selecting Keep using the legacy editor. This will switch off the prompt on this item until manually switched back on.

Manually switching the prompt back on

If you elected not to migrate and also selected Do not ask me again for this procedure you can switch the prompts back on when you're ready to migrate the content.

  • On the Published item, select the Settings icon on the bottom right

  • Select the Editor Migration tab (on a Standalone Procedure it's the only option, on a Checklist it's the third tab) and toggle the button back in to the On position

Migrating a Role Description

Whenever you go to edit a Role Description that currently uses the legacy editor, a prompt will appear asking you if you would like to migrate this item to the new editor. You can choose to either migrate or not migrate the content.

Choosing to migrate

  • Select the Edit button when viewing a Role Description

  • The popup will have Migrate to our new editor pre-selected

  • Click Continue

  • Your content will open in Draft with the new edit toolbar experience

Choosing not to migrate

  • Select the Edit button when viewing a Role Description

  • Choose Keep using the legacy editor

  • Click Continue

  • Your content will open in Draft with the legacy edit toolbar

When you choose not to migrate to the new experience, you'll be prompted to migrate again the next time you go to edit the published item. If you would like to stop this prompt, you can select Do not ask me again for this role description after selecting Keep using the legacy editor. This will switch off the prompt on this item until manually switched back on.

Manually switching the prompt back on

If you elected not to migrate and also selected Do not ask me again for this role description you can switch the prompts back on when you're ready to migrate the content.

  • On the saved item, select the Settings icon on the bottom right

  • On the Editor Migration tab, toggle the button back in to the On position

Migrating a custom Standalone Procedure Template or Checklist Template

Whenever you go to use a custom Standalone Procedure Template or Checklist Template that currently uses the legacy editor, a prompt will appear asking you if you would like to migrate this item to the new editor. You can choose to either migrate or not migrate the content.

Note: custom templates are those templates you have created yourself using the Copy & Template feature.

Choosing to migrate

  • Select the Template either from the Create your own carousel on the Manual Landing page

  • Or by selecting it from the Choose a Template popup that displays after selecting +Add New from within a label of your manual

  • The popup will have Migrate to our new editor pre-selected

  • Click Continue

  • Your content will open in Draft with the new edit toolbar experience

Note: if you choose to migrate when opening a template, you are not migrating the template itself, only the version of it you just created. To make this new version the template:

  • Select Copy & Template on the new version

  • Select Save as Template

  • Complete the Provide a title for your template and Give a brief description of the template fields

  • Click Save As Template

The new template will be saved in your list and will use the new edit experience. The new template will be either at the far right of the Create your own carousel or at the bottom of the Choose a template list.

To remove the old template that uses the legacy editor:

  • Select +Add New from within a label of your manual

  • Locate the template you want to delete from the Choose a Template popup

  • Select the trash can icon to delete it. Remember to choose the old template not the new one, especially if you gave them the same name. Tip: templates created with the legacy editor also have the Settings icon underneath the trash can

Choosing not to migrate

  • Select the Template either from the Create your own carousel on the Manual Landing page

  • Or by selecting it from the Choose a Template popup that displays after selecting +Add New from within a label of your manual

  • Choose Keep using the legacy editor

  • Click Continue

  • Your content will open in Draft with the legacy edit toolbar

  • Locate the template you're after from the Choose a Template popup

  • Select the Settings icon

  • Select the checkbox to turn the prompt back on for this template

Migrating a custom Role Description Template

Whenever you go to use a custom Role Description Template that currently uses the legacy editor, a prompt will appear asking you if you would like to migrate this item to the new editor. You can choose to either migrate or not migrate the content.

Note: custom role description templates are those templates you have created yourself using the Save As Template feature.

Choosing to migrate

  • Select the + on a role card to add a new role to an Org Chart

  • Select the Template from the Choose a Template popup

  • The role will be added to the Org Chart with default role name of Role [number] e.g. Role 1

  • Select the link icon on the top left of the newly added role card to view the Role Description

  • Select the Edit button when viewing the Role Description created from the template

  • The popup will have Migrate to our new editor pre-selected

  • Click Continue

  • Your content will open in Draft with the new edit toolbar experience

Note: if you choose to migrate when opening a template, you are not migrating the template itself, only the version of it you just created. To make this new version the template:
